Fleet & Logistics Coordinator

The Fleet & Logistics Coordinator is responsible for managing and coordinating fleet-related activities, logistics support, procurement processes, and supplier coordination to ensure smooth day-to-day operations. This role plays a key part in maintaining accurate fleet records, supporting procurement decisions, managing purchase orders, and ensuring timely communication with internal teams and external suppliers.
- Fleet Management & Fleet IO
- Manage Fleet IO administration, including:
- Vehicle purchases and disposals
- Registration renewals
- Plate updates and record maintenance
- Coordination of Verizon installs and de-installs
- Maintain accurate and up-to-date fleet records
- Coordinate with suppliers and internal stakeholders on fleet-related matters
- Logistics Coordination
- Support logistics planning and coordination across the business
- Ensure vehicles and resources are available and aligned with operational needs
- Identify and flag potential issues, delays, or risks impacting logistics
- Procurement & Supplier Coordination
- Follow established procurement processes and SOPs
- Coordinate supplier communications and maintain supplier records
- Support cost-management initiatives and ensure procurement decisions align with business requirements
- Maintain an up-to-date list of suppliers and key contacts
- Escalate procurement matters requiring approval
- Purchase Order (PO) Management
- Receive and manage incoming purchase orders
- Confirm PO acceptance and notify internal teams when jobs are approved to commence
- Track POs to ensure alignment with timelines and budgets
- Reporting & Administration
- Prepare and maintain fleet, logistics, and procurement reports as required
- Ensure accurate record-keeping and documentation
- Provide timely updates and clear communication to stakeholders
- Client & Stakeholder Communication
- Respond to client and supplier emails related to fleet, logistics, and procurement
- Ensure communication is clear, professional, and timely
- Escalate issues as appropriate
- Additional Responsibilities
- Support the business with general administrative tasks as required
- Take on additional duties aligned with fleet, logistics, procurement, or business support, as assigned from time to time
- Assist with ad hoc projects to support team priorities and business needs
- Experience in fleet management, logistics coordination, procurement, or a similar role
- Strong organisational and coordination skills
- Excellent written and verbal communication skills
- High attention to detail with strong follow-through
- Ability to manage multiple priorities in a fast-paced environment
