Key Responsibilities
  • Maintenance & Compliance: Scheduling preventive maintenance (PMS), tracking repair history, and managing vehicle registrations, inspections, and renewals.
  • Data Administration: Maintaining accurate databases for vehicle assets, fuel consumption, mileage, and driver assignments.
  • Document Management: Organizing insurance documents, traffic violation reports, and tracking insurance claims.
  • Driver & Vendor Support: Providing support for driver queries (e.g., fuel card issues, RFID) and coordinating with mechanics, suppliers, or service providers.
  • Reporting: Preparing reports on fleet expenses, utilization, and performance to help improve efficiency.
Administrative Duties
  • Process and verify utility bills, and rentals
  • Prepare billing summaries and monthly expense reports
  • Handle email correspondence, phone calls, and scheduling
  • Prepare reports, spreadsheets, and other administrative documents
  • Maintain confidential company records and information
  • Assist management and other departments with administrative tasks
  • Perform other duties assigned by supervisors
Job Qualifications
  • 1–3 years in fleet administration, logistics, or administrative support.
  • Strong proficiency in Microsoft Excel
  • Strong organizational and multitasking skills
  • Good communication and interpersonal skills
  • Good recordkeeping and documentation skills
  • Time management and problem-solving abilities
  • Detail-oriented and able to work under pressure
  • Bachelor’s degree in Business Administration, Operations Management, or related field preferred.
