Our client is seeking a Virtual Assistant with previous experience supporting a Ray White office or Ray White sales agent. This is a mandatory requirement, and applications without direct Ray White experience will not be considered.
About the Role
Our client, a high-performing real estate sales team based in Brisbane, is seeking an experienced Virtual Assistant to provide support across sales administration, CRM management, marketing coordination, and client communications.
This role is ideal for someone who thrives in a fast-paced environment, takes initiative, and has a strong understanding of Australian real estate operations.
Key Responsibilities
CRM & Database Management- Maintain and update buyer, vendor, and prospect records
- Record call notes, follow-ups, and tasks accurately
- Manage enquiry follow-up processes and pipeline activities
- Generate reports and ensure database accuracy
- Coordinate listing preparation and supporting documentation
- Manage property listings and marketing campaigns
- Liaise with photographers, copywriters, and suppliers
- Prepare vendor reports and campaign updates
- Respond to buyer enquiries and follow-up communications
- Coordinate inspections, appointments, and key milestones
- Assist with contract administration and settlement processes
- Ensure timely and professional communication with all stakeholders
- Schedule and manage social media content
- Assist with email marketing campaigns and newsletters
- Support listing promotions and marketing activities
- Prepare marketing materials using provided templates
- Manage inboxes, calendars, and appointments
- Prepare reports, presentations, and property documentation
- Maintain digital filing systems and records
- Support compliance and administrative workflows
Essential Requirements
✔ Previous experience supporting a Ray White office or Ray White sales agent
✔ Australian real estate administration, sales support, or virtual assistant experience
✔ Excellent written and verbal English communication skills
✔ Strong attention to detail and organizational skills
✔ Experience managing CRM systems and client databases
✔ Ability to work independently and manage competing priorities
✔ Reliable internet connection and professional home office setup
✔ Available to work during AEST business hours
Highly Regarded- Experience with Vault CRM
- Experience with MyDesktop
- Experience with realestate.com.au and Domain
- ActivePipe or Mailchimp experience
- Canva or Adobe Express experience
- DocuSign experience
- Knowledge of Queensland real estate processes
