Client Overview:
Chelsea is an amazing business consultant. She is super direct, but she has a heart of gold, and cares so much. She is looking for a unicorn who can help her with administrative tasks so she can work on her zone of genius!
Client Requirements:
- Must be able to work from 8am-12pm Pacific Time (US)
- Must be able to work 20 hours weekly
- Must have experience with administrative assistance or any similar role
- Must have experience with Canva, content creation, and design
- Must understand CRMs and how they work
- Must be familiar with automating processes and comfortable navigating Zapier, HubSpot, and possible other market research/marketing tools
- Must be an excellent writer - you can use AI, but you can't rely on it too much
- Must have EXCELLENT communication skills
- Must be super organized
- Detail-oriented with a commitment to quality control
- Must be a whiz at documenting and streamlining processes
- Must be proactive, curious, and persistent
- Must be willing to ask all the questions until you get the right answer!
- Nice to have: someone with a working knowledge of highly regulated industries (specifically government if possible!)

Software tools used by the client:
- HubSpot

Responsibilities/Tasks:
- Manage Chelsea’s podcast, including:
- Editing episodes in Descript
- Publishing episodes
- Publicizing the episodes on LinkedIn, YouTube, and Facebook
- Managing guest scheduling and post scheduling for podcast guests
- Editing podcast posts
- Manage Zapier integrations
- Help implement Chelsea’s marketing plan
- Create metrics/measurements to inform the team as to what is working and what isn’t, to be able to adjust the plan as needed
- Help design and develop client assets and other contents
- Help advertise Chelsea’s webinar on different platforms
- Assist in crafting and editing the assets Chelsea is putting together for webinars
- Solicit and publish blog posts from webinar guests
- Help implement automation in marketing efforts
- Keep the CRM updated with leads, deals, and help with outbound marketing emails
- Create LinkedIn posts (for the podcast and webinars)
- Review podcast audio and show notes to ensure accuracy of podcast guest information
- Document and streamline processes, and suggest areas of improvement to generate efficiencies in the business
- Identify companies and decision-makers that meet Chelsea’s target audience criteria
- Follow up with previous leads to re-engage them and see if the current timing presents opportunities to work together
Low Priority:
- Manage and coordinate travel arrangements
- Assist in managing Chelsea's calendars, appointments, and schedules
- Help execute Chelsea's conference strategies
- Write executive summaries for proposals based on detailed descriptions of clients’ companies
