The Onboarding Compliance Specialist (HR Assistant) is mainly responsible in monitoring and ensuring the full compliance of pre-employment requirements of new hires.
Background Check Processing, Medical Exam and Drug Test Monitoring:
- Conducts reference checks.
- Endorses background investigation forms to vendors and reviews background check reports.
- Coordinate and reports negative findings with Recruitment, Operations and or Site-HR.
- Reviews and tracks medical exam and drug test results.
- Prepares and sends incident reports upon receipt of positive drug test results.
- Instructs new hires with possible contagious diseases to report at the site clinic immediately.
- Validates billing/invoices provided by the vendors prior to processing of payment.
New Employee Orientation and Requirements Collection:
- Discuss pre-employment requirements to New Hires during Job Offer.
- Collects pre-employment requirements from new hires on the first day of NEO.
- Issues compliance reminders and provide guidance on completion process for the pending requirements.
- Assists new hires with the registration of government numbers in Sharepoint.
- Encodes, tracks and forward documents to Compliance Clerk for 201 file creation.
- Ensures accurate and timely encoding of employee details in the Pre-Employment Requirement Tracker (PERT).
- Prepares and sends the regular reports such as:
- Received and pending requirements from NEO.
- Weekly Non-compliance reports.
- Overall compliance reports.
- Requirements status (for non-reverse/conditional reverse).
- Final Update and other ad hoc reports as requested by Operations.
