Summary: The Sales Administrator is responsible for the order entry, billing, logistics tracking, analytics, and other business functions related to our Millwork Mill Direct business. This role will work directly with our Millwork Directs Department.
Product Category Includes:
- Mouldings and S4S Boards.
- Interior and exterior door jambs and other wood components.
Essential Duties and Responsibilities include, but are not limited to the following:
Order Entry- Accurately enter customer orders into the system in a timely manner.
- Verify order details, including product specifications, quantities, pricing, and shipping information.
- Process order modifications, cancellations, and returns as needed.
- Maintain organized and up-to-date order records and documentation.
- Accurately generate and process customer invoices based on completed orders.
- Verify order details, pricing, taxes, and applicable discounts before billing.
- Ensure timely and accurate billing in accordance with company policies and contractual agreements.
- Maintain detailed and organized records of all invoices, payments, and billing-related correspondence.
- Monitor and track the movement of offshore shipping containers from origin to destination.
- Maintain accurate records of container statuses, estimated arrival times, and any delays.
- Coordinate with shipping lines, freight forwarders, and port authorities for real-time updates.
- Communicate container status and potential disruptions to internal teams and customers.
- Utilize tracking software, ERP systems, and online carrier portals to update shipment records.
- Assist in processing purchase orders (POs) and ensuring accuracy in order details.
- Maintain and update procurement records, supplier contracts, and purchase agreements.
- Communicate with vendors to confirm order details, pricing, and delivery schedules.
- Collect, analyze, and interpret sales data to identify trends, opportunities, and areas for improvement.
- Develop and maintain dashboards and reports to track key sales performance metrics (e.g., revenue, margins, customer acquisition).
- Build and maintain supplier and customer databases, ensuring data accuracy and completeness.
- Ensure data integrity by performing regular audits and clean-ups of sales records.
- Completes all action items in a timely manner.
- Response times are quick and show a sense of urgency.
- Communicates well across all business functions to satisfy customer needs.

- The sales representative must have a competitive attitude and desire to succeed. Candidate should have above average skills in Microsoft Windows, Word, Excel, and PowerPoint. They should have excellent communication skills, both oral and written. Attention to detail a must. Must have time management skills, be self-motivated, be able to build relationships, and always maintain a positive attitude. Customer facing roles require maintaining a professional appearance and providing a positive company image to the public. Position requires travel with overnight stay.
