Job Summary
Biosite Medical Instruments, Inc. is looking for a detail-oriented and dependable Supply Chain Associate who will support the day-to-day operations of the Supply Chain Department.
The role is responsible for assisting in inventory monitoring, asset tracking, medical equipment coordination, documentation, logistics support, service coordination, and administrative support. The position ensures that company-owned medical equipment, inventory items, and related supply chain transactions are properly monitored, documented, coordinated, reported, and accounted for.
The Supply Chain Associate will work closely with the Supply Chain Manager/Head, Warehouse, Technical Service, Sales, Logistics, Purchasing, and other concerned departments to support accurate inventory control, timely deployment, proper asset accountability, and efficient supply chain operations.
Key Responsibilities
Inventory and Asset Monitoring- Assist in monitoring inventory levels, equipment availability, asset movement, and operational requirements.
- Maintain accurate and updated records of company-owned medical equipment, inventory items, and related assets, including serial numbers, location, assigned user/client, deployment date, condition, accountability, and service status.
- Update inventory trackers, asset monitoring files, logbooks, records, and other prescribed monitoring tools.
- Reconcile physical inventory with records, trackers, logbooks, and system data.
- Assist in conducting periodic inventory checking, asset validation, and equipment status verification.
- Report discrepancies, missing items, damaged equipment, undocumented movements, inventory variances, or accountability concerns to the Supply Chain Manager/Head.
- Coordinate the deployment, transfer, pull-out, return, replacement, and movement of medical equipment and related supply chain items.
- Ensure that all released, deployed, transferred, returned, or pulled-out equipment and items are properly documented, acknowledged, and endorsed.
- Coordinate with Warehouse, Technical Service, Sales, Logistics, Purchasing, and hospital/client end-users regarding equipment status, availability, requirements, and concerns.
- Monitor pending returns, replacements, pull-outs, repairs, deployments, and other equipment-related action items.
- Assist in arranging schedules, endorsements, coordination requirements, and follow-ups related to supply chain transactions.
- Conduct client, site, or internal coordination when necessary to confirm equipment status, location, documentation, or accountability.
- Prepare, update, organize, and safekeep supply chain and equipment-related documents, including deployment forms, acknowledgment receipts, transfer forms, pull-out forms, return forms, delivery records, service logs, inventory records, and monitoring reports.
- Ensure timely and accurate encoding of inventory movements, asset transactions, and equipment updates in the prescribed tracker, logbook, monitoring sheet, or system.
- Maintain complete, organized, and audit-ready records for compliance checking, asset verification, operational reporting, and management reference.
- Ensure that all equipment movements, inventory transactions, and supply chain activities are supported by proper documentation, approvals, and acknowledgments.
- Assist in organizing monitoring files, contracts, reports, records, and other supply chain-related documents as may be required.
- Coordinate preventive maintenance, inspection, calibration, repair, servicing, and technical assessment requirements with the Technical Service Department or authorized personnel.
- Monitor equipment downtime, repair progress, service status, and pending technical concerns involving defective, non-operational, or returned equipment.
- Assist in identifying equipment due for maintenance, calibration, inspection, replacement, pull-out, or service follow-up.
- Coordinate service-related updates and ensure that the latest equipment status is properly reflected in monitoring records.
- Follow through with concerned teams on unresolved equipment concerns and pending technical action items.
- Prepare and submit regular updates and reports on inventory status, deployment, equipment movement, serviceability, accountability, and pending action items.
- Update and submit monthly reports covering equipment status, inventory movement, pending pull-outs, pending returns, service concerns, and other supply chain-related matters.
- Participate in weekly meetings, alignment discussions, and coordination activities as may be required.
- Provide timely updates to the Supply Chain Manager/Head regarding urgent concerns, unresolved issues, operational risks, discrepancies, or process gaps.
- Collaborate with cross-functional teams to support smooth supply chain operations, accurate documentation, and timely issue resolution.
- Ensure compliance with company policies, supply chain procedures, inventory control standards, asset management protocols, and documentation requirements.
- Support audit activities, inventory counts, asset verification, documentation review, and process improvement initiatives.
- Assist in identifying gaps in inventory monitoring, documentation, coordination, reporting, or asset control processes.
- Maintain confidentiality and proper handling of company records, client information, operational data, and supply chain documents.
- Perform other related supply chain, inventory, logistics, equipment coordination, and administrative tasks as may be assigned.
- Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, Industrial Engineering, Engineering, Healthcare-related course, or any related field.
- With at least 1–2 years of relevant experience in supply chain support, inventory management, logistics coordination, asset monitoring, warehouse operations, equipment coordination, documentation, or related work.
- Experience in medical equipment handling, deployment monitoring, asset documentation, technical records management, or healthcare-related operations is an advantage.
- Proficient in Microsoft Excel, Microsoft Word, Google Sheets, and other inventory or monitoring tools.
- Detail-oriented, organized, accurate, dependable, and consistent in recordkeeping and documentation.
- With good communication, coordination, time management, and follow-through skills.
- Able to work independently and coordinate effectively with cross-functional teams.
- Willing to perform coordination, documentation, follow-up, inventory checking, and occasional client/site verification as needed.
