We are seeking a highly organized, proactive, and discreet Personal Assistant to provide day-to-day support, with a particular focus on meal planning, household coordination, calendar management, and personal shopping. The ideal candidate will have strong attention to detail, excellent time management skills, and the ability to manage multiple tasks with a high degree of professionalism and confidentiality.

Key Responsibilities:

  1. Meal Planning and Household Coordination

Plan weekly meal schedules for the family and household staff (drivers, housekeepers, etc.) in coordination with the cook or relevant staff.

Monitor and ensure dietary preferences, allergies, and nutritional goals are considered in meal planning.

Oversee the timely preparation and delivery of meals.

Coordinate grocery shopping and kitchen inventory to align with planned meals.

Maintain regular communication with household staff to ensure smooth daily operations.
  1. Calendar and Schedule Management

Manage personal and family calendars, including appointments, family events, and household maintenance schedules.

Coordinate with drivers for pickups, drop-offs, and transportation needs of family members.

Send timely reminders and follow-ups for upcoming engagements or appointments.
  1. Personal Shopping and Errands

Handle personal shopping needs

Run personal errands as needed with discretion and efficiency.
  1. Administrative and Logistical Support

Keep records of expenses related to meals, shopping, and household operations.

Assist in organizing special occasions or gatherings hosted by the family.

Provide ad hoc personal assistance tasks as required.

Qualifications:

  • Proven experience as a personal assistant or in a similar support role.
  • Strong organizational and multitasking abilities.
  • Good communication skills and a service-oriented mindset.
  • Discretion and trustworthiness in handling private and sensitive information.
  • Familiarity with dietary planning or interest in nutrition is a plus.

Work Environment:

  • Based in an office or private household; may require occasional travel or errands outside the residence.
  • Collaborative interaction with household staff.
