Asset Finance - Settlement Officer (AU Mortgage Broker, WFH)
Schedule: Monday - Friday (6:00 AM - 3:00 PM PHT)
What are we looking for?The Asset Finance - Settlement Officer supports Australian brokers (Asset Finance) with post‑approval, settlement and post‑settlement administration of asset finance applications, ensuring funding occurs accurately, compliantly and on time.
The role requires strong coordination with brokers, lenders, and borrowers, ensuring all documentation, compliance requirements, and system updates are completed accurately and within required timeframes.
Skills Required:
- Bachelor's degree or equivalent relevant work experience
- Minimum 1 year experience in Australian asset finance settlements or loan administration
- Experience in post‑approval documentation and funding
- Familiarity with CRM systems (e.g., Salesforce, LMG CRM, or similar) and lender systems (e.g., Capital Finance, Metro Finance, Plenti, or similar)
- Strong understanding of lending processes and documentation requirements
- Good working knowledge of basic IT systems and tools
- Ability to work in a fast-paced and dynamic environment
What will you do?
Loan Processing & Application Management- Manage loan applications from post-submission to settlement
- Data entry of client and application details into CRM systems (e.g., LMG CRM, lender portals
- Prepare loan contracts for borrowers, ensuring completeness and accuracy
- Monitor documentation progress and provide regular updates to broker
- Collect, review, rename, and organise supporting documents
- Ensure compliance requirements are met for consumer (NCCP) and commercial asset finance transactions (e.g., Privacy Consent, Credit Guide, Credit Proposal Disclosure)
- Review loan contracts and supporting documents prior to settlement
- Ensure all lender and compliance requirements are met
- Understand and adhere to credit approval requirements for settlement
- Confirm asset, entity and pricing details prior to documentation
- Identify discrepancies and escalate to broker or lender
- Complete lender servicing calculators
- Assist with complex structure scenarios (e.g., multiple applicants, trusts, companies)
- Prepare pre-approved applications for loan contract generation
- Generate application documents (e.g., loan contracts, invoices, supporting paperwork)
- Coordinate settlement requirements (e.g., commission invoices, ID verification, certificates of currency)
- Coordinate settlement for consumer and commercial asset finance facilities
- Liaise with dealers, suppliers and lenders to confirm asset delivery and invoices
- Validate tax invoices, asset details (VIN/serial numbers), and supplier payment instructions
- Manage payout authorities and refinance settlements
- Confirm commission structures and issue commission invoices
- Track funding, confirm disbursement, close files and provide post‑settlement documents
