Job Overview:
To support the overall Human Resources operations by handling onboarding, employee relations documentation, employee records management, training coordination, insurance enrollment, and performance evaluation requirements. Ensures proper implementation of HR policies and efficient employee lifecycle management.
Job Description:
- Facilitate onboarding process for new employees including orientation and initial requirements.
- Ensure smooth integration of new hires into company policies, procedures, and work environment.
- Process Incident Reports (IR), Notices to Explain (NTE), Notice of Decision (NOD), and conduct administrative hearing coordination.
- Maintain proper documentation and records of employee discipline cases.
- Maintain, update, and secure employee 201 files and personnel records.
- Ensure completeness and accuracy of employee information in the HR system.
- Submit updated list of active and resigned employees every cutoff to Timekeeping& Payroll, and HR Lead
- Enroll cadets and crew members to company insurance programs on Day 1 of employment.
- Ensure timely submission of insurance requirements and updates.
- Assist in organizing and conducting training programs such as port familiarization and customer service training.
- Coordinate training schedules, attendance, and documentation.
- Obtain and consolidate requirements for employee performance evaluation.
- Assist in monitoring completion of performance appraisal processes.
- Facilitate employee clearance routing for resigned, terminated, or separated employees.
- Coordinate with concerned departments to ensure completion of clearance requirements.
- Perform other HR-related tasks as assigned by the HR Supervisor.
Qualifications/Requirements
Education:
- Bachelor’s Degree in Human Resource Management, Psychology, Business Administration, or any related course.
Experience:
- At least 1 year experience in HR generalist functions is an advantage.
Knowledge:
- Knowledge of HR processes such as onboarding, employee relations, and performance management.
- Familiarity with disciplinary procedures and documentation (IR, NTE, NOD).
- Basic understanding of employee records management and HR policies.
Skills:
- Strong communication and interpersonal skills.
- Good organizational and documentation skills.
- Ability to handle sensitive and confidential information.
- Proficient in Microsoft Office applications.
- Strong coordination and multitasking skills.
- Attention to detail and accuracy.
- Ability to work under pressure and handle employee concerns professionally.
