Position: Paralegal Officer
Reporting to: Supervisor / Senior Supervisor
Work Schedule: Tuesday–Saturday or Monday–Friday
Start time: 5:00 AM or 7:00 AM (48-hour compressed workweek)

Start Date: 1st or 2nd week of July

Job Summary:

The Paralegal Officer is responsible for managing legal and Professional Employer Organization (PEO) compliance work across various U.S. states. This includes monitoring licensing requirements, coordinating with U.S. regulatory agencies, and handling legal documentation and reporting.

Key Responsibilities: Compliance & Legal Support

Handle application, renewal, and compliance tracking of PEO licenses across multiple U.S. states.
Conduct biannual reviews of state-specific licensing regulations.
Verify active licenses for new worksite locations.
Submit timely reports of new and terminated worksites to relevant U.S. state agencies.

Monitor changes in legislation or state reporting requirements and update internal processes accordingly.

Communication & Coordination
Professionally communicate with agencies including the IRS, Department of Labor, and over 30 state licensing bodies.

Liaise with internal teams and external stakeholders regarding legal documentation and compliance updates.

Documentation & Reporting
Organize, update, and maintain client information, legal reports, and related documents.

Generate monthly, quarterly, and biannual compliance reports.

Administrative & Project-Based Tasks
Attend project orientations and job-specific trainings as required.
Adhere to standard operating procedures and reporting protocols.
Support audit findings and NCAPAC (Non-Conformity, Corrective Action, Preventive Action, Concessions) compliance.

Perform other ad hoc duties assigned by the PEO or REI leadership.

Security & Compliance
Report machine/network issues or any data security incidents.

Maintain full compliance with internal policies (QMS, ISMS, EHS, EMS), data privacy regulations, and company ethics.

Qualifications:
Education:

Bachelor’s degree in Legal Management, Business Administration, Paralegal Studies, Political Science, Mass Communication, Journalism, or any related field.

Experience & Skills: At least 1 year of relevant experience as a Paralegal or in a compliance-heavy legal/customer service role.

Strong analytical, comprehension, and reading skills.
Excellent verbal and written communication skills.
Proven ability to handle client cases and communicate with government agencies.
Proficiency in MS Office (Excel, Word, PowerPoint).
Able to work well under pressure and in a fast-paced environment.
Responsible, meticulous, and highly organized.
