Key Responsibilities

Client Strategy & Onboarding
  • Join onboarding and strategy meetings to capture actionable outcomes
  • Summarise meeting notes into internal documents and timelines into Notion
  • Map out deliverables in Notion, with clearly defined checkpoints and owners
  • Project & Workflow Management
  • Act as the project lead from onboarding to ongoing delivery
  • Coordinate across VAs and Marketing Coordinators to meet key turnaround times for service deliverables
  • Reporting on Clockify and Notion to monitor team hours, margin, and workflow status
  • Ensure client scope and timelines are aligned with internal resourcing
  • Strategic Marketing Operations
  • Support the execution of cross-channel marketing initiatives, including social media, content creation, website deliverables, branding, and SEO
  • Maintain high visibility of project pipelines, performance data, and task progress
  • Translate marketing strategies into repeatable workflows and delivery frameworks
  • Report operational bottlenecks or gaps in advance
  • Team Leadership & Performance Oversight
  • Manage workflow and expectations across internal VAs and MCs
  • Coordinate with senior leads to allocate resources based on project demand
  • Contribute to people management and process improvement initiatives
  • Performance Measurement & Budget Awareness
  • Track time and delivery costs per client to maintain healthy profit margins
  • Identify areas to reduce inefficiencies and increase team output
  • Contribute to weekly performance reporting for leadership
  • Offer feedback on budget management and task planning where relevant
  • Platform & Tool Ownership
  • Build and manage internal delivery dashboards, trackers, and databases in Notion
  • Maintain consistency and accuracy across communication and delivery platforms
  • Recommend and implement improvements to internal SOPs, systems, or resource management processes
Requirements
  • 3+ years of experience in marketing operations or project management
  • Previous leadership experience of remote or virtual teams a must.
  • Good general understanding of social media workflows, digital campaigns, branding, websites, SEO.
  • Experience with project management and communication platforms (e.g. Notion, Clockify, WhatsApp)
  • Highly organised and detail oriented with a track record of managing multiple workflows simultaneously
  • Fluent in English (both written and spoken), with professional communication skills
  • Strong time management and accountability - works well independently but knows when to escalate
  • Must be available full-time from Davao and comfortable collaborating across AEST/PHT time zones
Bonus Skills (Highly Favoured)
  • Previous agency experience in client services or team operations for
  • Experience with People Manager, HR platforms, or internal people ops systems
  • Ability to support budget tracking, and performance metrics
  • Familiarity with the broader digital marketing landscape (branding, content, website, SEO, ads, etc)
Working Hours & Tools
  • Full-time | 40 hours/week | Core Hours: 9am–5pm AEST
  • Philippines business hours with overlap for client meetings as needed
  • Primary tools: Notion, Clockify, Google Workspace, WhatsApp
