The Opportunity

We are seeking a Senior Bookkeeper / Team Leader to lead our BAS and Bookkeeping function. This is a client-facing, hands-on leadership role, responsible for managing your own portfolio while overseeing and developing a remote bookkeeping team.

You will act as the link between clients, bookkeeping, and accounting—ensuring work is accurate, compliant, and delivered efficiently. This role requires strong communication skills, with regular interaction via Microsoft Teams and phone calls.

This is a fully remote position with flexibility, supported by structured systems, automation, and clear workflows.

Key Responsibilities

Client Management & Advisory
  • Manage a portfolio of bookkeeping and BAS clients end-to-end
  • Act as the primary point of contact via Teams, phone, and email
  • Run client meetings, provide updates, and resolve queries proactively
  • Train and support clients on systems such as Xero, Hubdoc, and automation tools
  • Ensure client deadlines, expectations, and compliance obligations are consistently met
Hands-On Bookkeeping & BAS
  • Perform and oversee day-to-day bookkeeping including transaction processing, coding, and reconciliations
  • Maintain clean, accurate, and audit-ready files across all clients
  • Ensure no unreconciled or unresolved items remain beyond agreed timeframes
  • Manage payroll, superannuation, and STP compliance
  • Prepare and/or review BAS in collaboration with the accounting team
  • Prepare and lodge BAS returns in accordance with Australian compliance requirements
  • Maintain high standards of data integrity and internal controls
Team Leadership & Development
  • Lead, mentor, and manage offshore bookkeeping team members
  • Allocate work, review output, and ensure consistent quality
  • Provide training, feedback, and support team development
  • Drive accountability, productivity, and strong performance standards
  • Support hiring and onboarding as the team grows
Systems, Automation & Process Improvement
  • Drive adoption and effective use of tools such as Xero, Hubdoc, XBert, ChatGPT, Karbon, and other automation platforms
  • Manage and monitor workflow through Karbon, ensuring jobs are tracked, updated, and completed on time
  • Identify opportunities to automate repetitive tasks and improve efficiency
  • Maintain and improve documented workflows and procedures
  • Support system integrations and continuous improvement initiatives
Collaboration & Workflow Management
  • Work closely with the Accounting team to ensure smooth handover for BAS and financials
  • Coordinate workflow, deadlines, and capacity across the bookkeeping function using Karbon
  • Ensure all work meets firm standards and compliance requirements

What We're Looking For

Essential:

  • Strong experience in Xero-based bookkeeping (multi-client environment)
  • Minimum 5+ years of experience in Xero-based bookkeeping with multi-client environment expertise
  • Solid understanding of Australian GST, BAS, payroll, and compliance requirements
  • Minimum 3-5 years of payroll processing experience including superannuation and STP compliance
  • Proven ability to manage client relationships independently
  • Confident communicator on video calls and phone with clients
  • Experience performing hands-on bookkeeping work, not just reviewing
  • Strong attention to detail with a focus on clean, reconciled data
  • Ability to work effectively in a remote, systems-driven environment

Leadership Requirements:

  • Experience leading, mentoring, or reviewing team members' work
  • Ability to drive quality, accountability, and performance
  • Comfortable managing offshore or remote team members

Systems & Automation Mindset:

  • Experience or strong interest in using automation tools (e.g. XBert, ChatGPT, Hubdoc, Syft, Karbon, etc.)
  • Ability to identify inefficiencies and implement practical improvements

Highly Regarded:

  • Experience training clients on Xero and related systems
  • Public practice accounting firm experience
  • Real estate industry experience
Technology Requirements
  • Must have access to a reliable Windows PC and stable internet connection
  • A company-provided computer can be supplied if required
