The Admin and Purchasing Manager is responsible for overseeing procurement, administrative operations, and facility management across all restaurant outlets. This role ensures cost-efficient purchasing, smooth daily operations, and well-maintained store environments to support overall business performance.

Key Responsibilities:

Procurement & Supplier Management
  • Develop and implement purchasing strategies aligned with restaurant operational needs and cost targets.
  • Source, evaluate, and maintain a reliable supplier network for food, non-food, and operational supplies.
  • Negotiate pricing, contracts, and payment terms to achieve cost savings and maintain quality standards.
  • Review and approve Purchase Requisitions (PRs) and Purchase Orders (POs) to ensure accuracy and compliance.
  • Monitor the full procurement cycle from request to delivery, ensuring timely fulfillment.
  • Serve as the main point of contact for supplier coordination and issue resolution.
Inventory & Supply Management
  • Oversee requisitions from restaurant outlets, ensuring timely processing and replenishment.
  • Ensure continuous availability of janitorial, office, and operational supplies across all locations.
  • Monitor and control the issuance of assets, equipment, and supplies to each outlet.
Administrative & Facility Management
  • Handle and supervise all repairs and maintenance concerns for restaurant outlets.
  • Conduct regular outlet audits and inspections to ensure cleanliness, safety, and proper equipment functionality.
  • Monitor and manage lease contracts, including renewals and documentation.
  • Process and coordinate requests for payments related to procurement and operational expenses.
Compliance & Process Improvement
  • Ensure all purchasing activities adhere to company policies, budget controls, and audit requirements.
  • Maintain accurate documentation and records for procurement and administrative transactions.
  • Develop and improve procurement and administrative procedures to enhance efficiency
Coordination & Leadership
  • Work closely with Operations, Finance, and Store Managers to support daily restaurant needs.
  • Address and resolve supplier and internal concerns promptly and professionally.
  • Lead and guide administrative and purchasing staff to ensure smooth operations.
