REPORTS TO: Purchasing Officer / Supply Chain Manager
JOB SUMMARY:
The Purchasing Assistant helps with buying supplies, preparing purchase orders, talking to suppliers, and keeping records. The goal is to make sure items are ordered on time and available when needed.
Qualifications/Requirements
DUTIES AND RESPONSIBILITIES: Procurement & Order Processing
Process approved requests into Purchase Orders within 24 hours.Follow up orders to make sure they are delivered on time.
Check that details and prices in POs are correct.
Inventory & Control SupportMake sure important items, especially F&B, do not run out of stock.
Help monitor stock levels and report shortages.
Check documents like PO, Receiving Report, and Invoice for accuracy.
Administrative & ReportingFile and keep purchase records complete and updated.
Update supplier prices when needed.
Help prepare monthly reports.
Vendor CoordinationKeep supplier information updated.
Get at least 3 price quotations for non-contracted purchases.
Reply to supplier messages and follow up orders.
Other TasksHelp with other purchasing tasks as assigned.
Assist during inventory and audits.
QUALIFICATIONS:
Education: Bachelor’s Degree in Business Administration, Supply Chain Management, Accounting, or any related course.
Experience: At least 1–2 years of experience in purchasing, procurement, inventory, or related field is preferred but not required.
Knowledge: Basic knowledge of purchasing processes, documentation, and inventory control.
