Schedule: Night Shift

Job Description:

We are seeking a remote, full-charge Staff Accountant / Bookkeeper to own the complete accounting cycle for our mechanical engineering firm. Because of our size, this role is a true generalist position: the right candidate will handle day-to-day bookkeeping, full AR/AP, semi-monthly payroll, month-end close, and coordination with our US-based project managers to ensure timely client invoicing through our project management software.

This is a single-person finance function reporting directly to firm leadership.

Core Responsibilities

Bookkeeping & General Ledger
  • Daily transaction entry and categorization in QuickBooks
  • Maintain a clean, audit-ready general ledger
  • Recurring journal entries, prepaid expense schedules, etc.
  • Bank, credit card, and GL account reconciliations (monthly)
Accounts Receivable & Project Invoicing
  • Coordinate with US-based project managers and project management software to ensure client invoices are issued accurately and on time based on project milestones and contract terms
  • Generate and send customer invoices through QuickBooks
  • Collections follow-up, customer account maintenance, and AR aging reports
  • Project cost tracking and WIP (work-in-progress) reporting support
Accounts Payable
  • Vendor bill entry, expense coding, and approval routing
  • Schedule and execute payment runs
  • Vendor account reconciliations and 1099 tracking throughout the year
Payroll
  • Process semi-monthly payroll in QuickBooks Payroll for fewer than 10 employees
  • Reconcile payroll liabilities and confirm tax payments and filings processed through QuickBooks Payroll
  • Coordinate with leadership on new hire setup, terminations, and pay adjustments
  • Prepare and reconcile year-end W-2s
Month-End Close & Reporting
  • Execute month-end close procedures: journal entries, accruals, account analysis
  • Prepare supporting schedules for monthly financial statements
  • Deliver standard month-end reporting package to firm leadership
Compliance & Other
  • Annual 1099 preparation
  • Sales tax filings as applicable
  • Audit and tax preparation support
  • Other ad hoc accounting and reporting tasks as needed

Qualifications and requirements:

  • Bachelor’s degree in Accounting, Finance, or related field
  • 3+ years of full-cycle accounting and bookkeeping experience
  • Minimum 1-2 years supporting US-based clients or companies
  • Hands-on experience running payroll in QuickBooks Payroll (or substantively similar US payroll platform)
  • Strong working knowledge of US GAAP and US payroll concepts (federal/state withholding, FICA, W-2s, 1099s)
  • Proficiency in QuickBooks (Online or Desktop)
  • Advanced Microsoft Excel
  • Excellent written and verbal English communication
  • Reliable high-speed internet, quiet work environment, backup power
  • Ability to overlap minimum 8 hours daily with US Central Time (8:00 AM – 5:00 PM CT)
Preferred Qualifications
  • Experience in engineering, architecture, construction, or other project-based professional services
  • Experience with project management or job-costing software (Procore, BQE Core, Ajera, Monday.com, or similar)
  • Prior experience as a sole or lead bookkeeper for a small US business (under 15 employees)
