Administrative Specialist

The Administration Specialist provides administrative and clerical support. You are responsible for

maintaining and organizing documents and database while ensuring accurate and correct information.
You are also accountable to answer inquiries and requests as deemed proper and necessary.
An administrative assistant helps manage daily office tasks to keep things running smoothly. They track

schedules and appointments and keep records organized.

This role requires good organizational skills, the ability to manage time well, and strong communication

abilities.

QUALIFICATIONS
 College graduate, Fresh graduates, College level, are welcome to apply
 Must have good written and verbal communication skills in English
 Ability to work with minimal supervision, with strong time management skills, resourceful.
 Able to work productively under pressure and fast-paced environment
 Excellent organizational skills, and discretion with confidential information.
 Good computer literacy including solid working knowledge of MS Word, Excel, and database

management.

 Experience in customer service or client support is a plus
 Detail-oriented, attention to details and able to handle multiple tasks simultaneously.
 Comfortable using email, phone systems, and CRM tools.

 Proactive and able to follow up independently.

DUTIES AND RESPONSIBILITIES
 Organize and manage schedules, emails, and documentation for efficient team operations
 Maintain and update databases, spreadsheets, and project trackers to ensure accurate record-
keeping.

 Document Handling: Establishes and maintains physical and digital record systems and files; updates and maintains complex records and reports related to assigned programs and activities.

 Documentation: Organize and maintain files related to clients and inquiries, ensuring all information

is readily available and properly documented.
 Handle data management and entry, including the maintenance and improvement of department

filing systems.

 Work with sensitive information with discretion to maintain confidentiality and security and ensure

compliance with privacy policies and regulations.

 Collaborate: Work closely with other team members to ensure that all client requests are addressed

promptly and professionally.
 Ensures that deadlines are met and adapts to changing priorities.

 Assists with special projects and tasks related to the assigned department as required.

 Performs other tasks as may be assigned from time to time
