Job Description:
To provide high-level administrative, operational, and project management support to the Operations Director by managing their schedule, communications, and priorities, and ensuring the smooth execution of strategic initiatives. This role focuses heavily on advanced project management while requiring an all-rounder mindset—someone adaptable, resourceful, and capable of handling diverse responsibilities across operations, projects, and stakeholder engagement.
Reports To: Operations Director
Key Duties & Responsibilities- Manage the COO’s schedule, priorities, and workflows, ensuring alignment with strategic goals.
- Communicate with team members on behalf of the Operations Director.
- Track commitments, projects, and KPIs to ensure accountability.
- Coordinate communications, leadership forums, and reporting.
- Take high-level meeting minutes
- Assist the Operations Director with daily operations
- Work independently with high-level direction
- Provide high-level administrative support to the Operations Director, including handling confidential information with discretion.
- Prepare agendas, take minutes, and follow up on action items from meetings.
- Conduct research and compile information for reports, presentations, and decision-making.
- Act as a liaison between the Operations Director and internal/external stakeholders.
- Manage special projects and initiatives as assigned by the Operations Director.
- Monitor the progress of various tasks and projects across the firm.
- Ensure deadlines are met and assist in prioritizing workload.
- Coordinate with team members to track the status of assignments and deliverables.
- Provide regular updates to the Operations Director on tasks and project status.
Qualification and requirements:
- 5+ years in an EA, Business Manager, or Chief of Staff–style role supporting senior executives.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook).
- Process-driven mindset with experience creating repeatable systems (templates, agendas, SOPs).
- Proven track record in advanced project management, including planning, execution, and reporting.
- Experience in using Asana, including creating and managing projects, workflows, reporting dashboards, and timelines.
- All-rounder mindset with the ability to adapt to shifting priorities and take on diverse responsibilities.
- Strong project management and organizational skills, with the ability to coordinate multiple priorities.
- Excellent written and verbal communication skills.
- Demonstrated ability to prepare clear, data-driven reports and executive-level summaries.
- Strong attention to detail and ability to anticipate needs proactively.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
Desirable:
- Experience or familiarity with systems such as HubSpot, MailChimp, Active Campaign, Employment Hero, Adobe, or WordPress.
- Marketing experience or exposure to campaign/project coordination is a plus.
- Familiarity with other project management tools and reporting platforms.
Non-negotiable skills & requirements:
