Role: Virtual Assistant
Work Arrangement: Work from Office
Location: Any CS PH Branches - Makati/Ortigas/Pampanga/Tarlac/Cebu/Davao

Schedule: Mid shift

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to the CEO, including calendar management, travel coordination, and preparing concise briefs.
  • Communication: Draft, edit, and proofread emails, presentations, and documents. Act as the CEO’s representative in professional communications with stakeholders.
  • Inbox & Diary Management: Oversee the CEO’s inbox, prioritize and respond to messages, draft replies, and coordinate a complex schedule.
  • Relationship Building: Serve as a professional point of contact for entrepreneurs, partners, and clients, representing the CEO and company with diplomacy.
  • Project Coordination: Manage special projects, collaborating with cross-functional teams to ensure timely completion and alignment with company goals.
  • Event & Meeting Management: Organise meetings and webinars; take minutes, manage follow-up actions, and work with the Head of Events to ensure smooth event logistics.
  • Office & Team Support: Oversee office operations, manage team holiday and sickness calendars, and handle essential tasks such as ordering stationery.
  • Board Support: Prepare Board meeting documents, take minutes, and track action items to ensure follow-through.
  • Social media & Digital Presence: Assist with the CEO’s social media and client follow-up via digital channels to enhance engagement.

Qualification and requirements:

  • Excellent Written Communication: Proficient in English with strong attention to detail.
  • Organizational Skills: Highly organized, with excellent multitasking and time management abilities.
  • Relationship Building: Strong interpersonal skills with a professional telephone manner.
  • Tech-Savvy: Skilled in Microsoft Office (Excel, Outlook, PowerPoint, SharePoint), MS Teams, Zoom, and Salesforce.
  • Confidentiality: Discreet and able to handle sensitive information with care.
  • Calm Under Pressure: Resilient, with a positive attitude and a calm demeanour in a fast-paced environment.

Preferred Qualifications:

  • Experience: Minimum of 3 years in a support role, ideally in a fast-paced entrepreneurial or start-up environment.
  • Entrepreneurial Mindset: Passionate about entrepreneurship and supporting company growth.
  • Proactive Problem Solving: Able to identify and resolve issues independently and effectively.

Non-negotiable skills & requirements:

  • At least 3 years of experience providing executive support to C-level leaders
  • Proficient in using tools such as MS Office, Salesforce and Zoom
  • Skilled in calendar coordination and travel management for senior executives
