JOB FUNCTIONS:
- Maintains and updates data bank of the office;
- Files and retrieves communications, reports and other related documents;
- Receives and records incoming and outgoing communications.
- Maintains and preserves permanent and confidential records
- Maintains office supplies and equipments;
- Coordinates schedules, meetings and travel arrangements;
- Assists with procurement and inventory management;
- Submits applicable reports;
- Sorts, classifies and distributes documents to concerned staff/division/office for the appropriate action;
- Files, stores and retrieves copies of memorandum, guidelines and other centralized documents of the section to ensure that there are available sources which can serve as references for the staff or basis for actions, etc.
- Answers phone calls, assists to visitors/clients of the section and refers their queries to concerned staff/division/section/unit;
- Attends to all administrative requirements of the division/section/unit for the conduct of activities/meeting, as needed;
- Performs other tasks as may be delegated by the program focal person and/or immediate supervisor.
