Job Description

As a Sales Support Specialist, you'll play a critical role in ensuring sales operations run smoothly. From managing CRM data and generating reports to supporting proposal creation and customer documentation, your work will fuel the success of a high-performing sales team.

The Qualifications We Seek
  • At least 3-5 years of Sales Support experience
  • Solid experience with databases and Microsoft Office
  • Hands-on experience with Dynamics CRM is highly preferred
  • Familiarity with Salesforce or similar CRM platforms is a plus
  • Experience and understanding of the sales environment
  • Previous experience in an administration capacity
  • Strong customer service orientation
  • Strong written and verbal communication skills
  • High-quality work, including attention to detail and accuracy
  • Good organizational skills
  • Ability to work independently and as a team
  • Ability to juggle multiple priorities, work under pressure, and meet deadlines
  • Professional presentation
  • Adaptable to change
  • Solid problem-solving skills

Your Daily Tasks

Sales Process Support
  • Provide support to the Sales Director, Sales Manager, and Sales team as required
  • Enter additions from the sales whiteboard daily into the Additions and Deletions database
  • Process purchase approvals as requested through Dynamics and add additions to whiteboard
  • Manage attrition, decommission, relocations, and SLA changes as required
  • Enter opportunities into Dynamics CRM, ensuring all information and sign-offs are obtained
  • Contribute to quote process - device review, pricing review against existing devices
  • Update sales into Additions and Deletions database
  • Manage daily storage of all customer information, in compliance with policy
  • Process device audits for customers as required, liaising with other departments
  • Support Account Executives to ensure correct invoices, including:
  • Process attrition
  • Process credit notes and invoice resets
  • Manage changes to existing services (relocations, SLA changes, price adjustments)
  • Provide device listings for customers
  • Assist with contract renewals and other contractual requirements (NDAs, extensions)
  • Assist with the management of time and material quotes
  • Create and format sales proposals, quotes, and tender applications as required
  • Ensure timely completion of Dynamics cases in line with task SLAs
  • Provide overflow Sales Support for other Line of Businesses as required
Administration and Reporting
  • Perform regular reporting in Dynamics CRM
  • Generate customer service call and invoice reports
  • Run weekly NIDB reports
  • Generate ad-hoc reports for management as required
  • Manage team meeting requirements, including scheduling, preparation, minutes, and actions
  • Initiate, manage, and support sales projects as directed
  • Submit expenses on behalf of the Sales team
  • Remind team of invoice run deadlines (15th of each month) and ensure all DBUs are entered
