Qualifications
  • 3 to 5 years of experience as a Virtual Assistant or in a similar administrative role
  • Proven experience as a Virtual Assistant or similar administrative role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in tools such as Google Workspace, Microsoft Office, and CRM systems
  • Familiarity with social media platforms (Instagram, Facebook, Pinterest)
  • Ability to work independently and meet deadlines
Preferred Qualifications
  • Experience in landscaping, construction, or design-related industries
  • Knowledge of project management tools (e.g., Trello, Asana, Monday.com)
  • Basic graphic design skills (Canva or similar)
  • Understanding of invoicing tools (QuickBooks, FreshBooks, etc.)

Responsibilities

Administrative Support
  • Manage calendars, appointments, and scheduling for consultations and site visits
  • Organize and maintain digital files, project documents, and client records
  • Prepare estimates, invoices, and basic reports
Client Communication
  • Respond to emails, inquiries, and follow-ups in a timely and professional manner
  • Coordinate with clients regarding project updates, appointments, and feedback
  • Maintain CRM systems and update client information
Marketing & Social Media
  • Assist with social media management (posting, responding to comments/messages)
  • Help create and schedule content showcasing landscaping projects
  • Support email marketing campaigns and promotions
Project Coordination
  • Assist in tracking project timelines and deliverables
  • Communicate with vendors, suppliers, and subcontractors as needed
  • Help ensure all project details are documented and updated
General Support
  • Conduct online research for materials, trends, or suppliers
  • Provide basic bookkeeping support (expense tracking, data entry)
  • Handle ad hoc administrative tasks as needed
