About the Role
We are seeking a detail-oriented and student-focused Student Fees Officer, HE to join our Higher Education team. This role is central to supporting the accurate and timely management of student financial transactions, including tuition fee administration, FEE-HELP processing, refunds, scholarships, and payment arrangements.
Working closely with teams across Student Administration, Finance, Admissions, Student Experience, and Academic Services, you will play an important role in maintaining the integrity of student financial records while delivering responsive and professional support to students.
This position will be based at our Offshore Team (Remote Work and Day Shift) and offered as a full-time fixed-term, with an expected end date of 28 May 2027.
Key Responsibilities:
Student Fee Management- Process tuition fees and fee adjustments in accordance with approved course pricing and the published Schedule of Fees
- Maintain accurate and up-to-date fee information in the Student Management System (SMS) and related financial platforms
- Monitor and report anomalies or discrepancies in student financial records to the Coordinator
- Support the tracking and follow-up of overdue student accounts
- Issue payment reminders and Intention to Report (ITR) or Intention to Cancel (ITC) notices for overdue or unpaid fees
- Support the administration and tracking of student scholarships
- Maintain accurate FEE-HELP records and assist in monitoring student loan limits
- Support the verification of TCSI FEE-HELP data and resolution of validation errors
- Review and verify documentation for refund and remittal of fees requests to ensure compliance with institutional policy and Higher Education Support Act (HESA) requirements
- Update student financial records accurately following approved refunds, remittals, and administrative changes
- Process approved due date changes, including payment extensions, revised payment plans, and transitions between payment types (e.g., PBT, PBM, FEE-HELP, upfront payments)
- Provide accurate and timely advice to students regarding financial obligations, payment options, and refunds
- Respond to student finance enquiries with professionalism, empathy, and confidentiality
- Escalate complex or policy-sensitive matters to the Student Fees Coordinator, HE
- Contribute to maintaining clear and consistent student finance communication templates and FAQs
- Support the Student Experience team by providing students with accurate information and guidance on tuition fees, payment options, and key financial dates
- Assist with generating enrolment reports and administrative documentation as required
- Contribute to continuous improvement initiatives aimed at enhancing workflows and service delivery
- Collaborate with internal teams to resolve system or process issues impacting student finance or progression
- Provide administrative support to the broader Student Administration function as directed
Education, Experience, and Skills:
- Diploma or Bachelor in Business Administration, Education, or a related field (or equivalent experience)
- Minimum 1–2 years’ experience in student finance or higher education administration
- Strong attention to detail and accuracy in financial data processing
- Knowledge of FEE-HELP, HESA, and TCSI requirements (preferred but not essential)
- Experience using Student Management Systems and Microsoft Office 365
- Excellent communication and interpersonal skills with a student-focused approach
- Ability to manage competing priorities and maintain accuracy under pressure
- Demonstrated commitment to compliance, confidentiality, and continuous improvement
