Operations Officer

JJA Travel and Tours is looking for a highly organized and detail-oriented Operations Officer to manage the coordination and execution of travel services. This role involves handling bookings, logistics, ground handling, and supporting tender/bidding processes to ensure smooth and high-quality travel experiences for clients.
You will work closely with suppliers, vendors, and internal teams to confirm arrangements, prepare documentation, and assist in financial and compliance monitoring.
Key Responsibilities:
- Tours and Travel Operations Support: Coordinate travel bookings, accommodations, transport, and guided tours. Confirm arrangements with suppliers to ensure smooth delivery of itineraries.
- Ground Handling Coordination: Manage airport transfers, baggage handling, and local transport. Coordinate with drivers and hospitality staff for efficient guest movement.
- Client and Guest Support: Provide timely information to clients before and during tours. Respond to inquiries, complaints, and ensure high-quality guest experiences.
- Bidding and Tendering Support: Assist in preparing bid documents, proposals, and cost estimates. Ensure timely submission and compliance with requirements.
- Vendor and Partner Coordination: Liaise with hotels, guides, and transport companies. Monitor service quality and maintain a database of reliable partners.
- Documentation and Reporting: Maintain records of bookings, services, feedback, and vendor agreements. Prepare operational and service reports as needed.
- Support in Financial Process: Assist in preparing quotations and invoices. Track services for billing and reconcile supporting documents.
- Compliance and Risk Monitoring: Ensure adherence to safety, health, and travel regulations. Support risk management and emergency response efforts.
Qualifications:
- Bachelor’s degree in Tourism, Marketing, Business Administration, Hospitality Management, or a related field.
- Additional training or certifications in Travel & Tourism Operations, Ground Handling, or Procurement/Bidding is an advantage.

- Familiarity with bidding or tendering procedures, especially in government or corporate sectors, is a strong asset.
- Willingness to work flexible hours, especially during peak seasons or for special events.
- Skilled in preparing customized travel itineraries and costings.
- Excellent in verbal and written communication in English (additional language is a plus)
- Proficient in MS Office (Word, Excel, PowerPoint) and capable of generating sales/marketing reports.
