Our client, a strategic advisory and accounting firm, seeks a highly capable Internal Accounting/Operations Assistant. It plays a key role in maintaining the firm’s financial operations and administrative infrastructure. This position supports day-to-day internal accounting functions, payroll processing, invoicing, and accounts receivable management.

The ideal candidate is highly organized, trustworthy, and comfortable working within financial systems. Experience with NetSuite and ADP payroll platforms is strongly preferred, though not required. This role requires handling confidential financial and personnel information with discretion and professionalism.

Key Responsibilities

Internal Accounting Support
  • Perform initial coding and classification of financial transactions
  • Maintain organized digital financial records and supporting documentation
  • Assist with monthly reconciliations and reporting preparation
  • Support budgeting and internal financial tracking processes
  • Utilize accounting systems (including NetSuite, if applicable) for transaction processing and reporting
Payroll Administration
  • Process payroll accurately and on schedule
  • Maintain payroll records and coordinate with payroll providers
  • Utilize ADP or similar payroll platforms, if applicable
  • Ensure compliance with applicable payroll regulations and internal policies
Billing & Accounts Receivable
  • Prepare and issue client invoices in coordination with Partners and engagement leads
  • Track accounts receivable and maintain accurate aging reports
  • Follow up professionally with clients on outstanding invoices
  • Coordinate with Partners regarding billing adjustments or client inquiries
Operational Support
  • Assist with vendor payments and expense tracking
  • Support internal administrative workflows and process improvements
  • Maintain strict confidentiality of financial and personnel information
Required Qualifications
  • Bachelors Degree in Accountancy, Business Management, or related courses
  • 2+ years of experience in bookkeeping, accounting support, or internal operations
  • Working knowledge of accounting principles and financial processes
  • Experience with accounting software and payroll systems
  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • High level of discretion and professionalism
  • Good communication skills
  • Ability to work independently in a remote environment during 9:00 AM–5:00 PM HST
Preferred Qualifications
  • Experience with NetSuite accounting software
  • Experience with ADP payroll platforms
  • Background in a CPA firm, consulting firm, or professional services environment
  • Familiarity with project-based billing and client invoicing cycles
  • Proactive mindset with a focus on process improvement
