ADMINISTRATIVE OFFICER - MANDARIN SPEAKING- Serve as the primary point of contact for English and Mandarin-speaking clients, suppliers, and business partners. Provide timely and effective communication through email, phone, and in-person interactions.
- Maintain and organize company records, including contracts, invoices, purchase orders, and correspondence. Ensure that all documents are accurately filed and easily accessible.
- Assist in scheduling meetings, conference calls, and travel arrangements for the management team. Coordinate appointments and ensure timely reminders for key events or deadlines.
- Assist with data entry, reporting, and tracking of company activities. Prepare and maintain reports related to operational performance, administrative tasks, and company finances.
- Provide general administrative support to senior management, including preparing presentations, drafting correspondence, and assisting with day-to-day operational needs.
- Assist in communicating with English and Mandarin-speaking clients and suppliers to ensure smooth operations, order processing, and timely deliveries.
- Assist in the recruitment process by coordinating interviews, maintaining employee records, and supporting the onboarding process for new hires.
- Ensure the company’s adherence to internal policies, regulatory requirements, and industry standards by maintaining up-to-date administrative records and documentation.
- Monitor and manage office supplies and inventory, placing orders as necessary and keeping stock levels updated.
Qualifications/Requirements
Language Skills: Must be excellent in oral, writing and reading skills in Mandarin Language.Experience: With or without experience in an administrative or office support role, ideally within a trading or international business environment.
Skills & Knowledge:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time-management skills, with the ability to prioritize tasks efficiently.
- Excellent communication skills, both written and verbal, in Mandarin.
- Attention to detail and ability to work independently.
- Ability to multitask in a fast-paced environment.
- Strong problem-solving skills and proactive attitude.
- Strong interpersonal skills and ability to work well within a team.
- Customer service-oriented and adaptable to changing needs.
