ADMINISTRATIVE OFFICER - BILINGUAL / MANDARIN SPEAKING
  • Serve as the primary point of contact for Mandarin-speaking clients, suppliers, and business partners. Provide timely and effective communication through email, phone, and in-person interactions.
  • Maintain and organize company records, including contracts, invoices, purchase orders, and correspondence. Ensure that all documents are accurately filed and easily accessible.
  • Assist in scheduling meetings, conference calls, and travel arrangements for the management team. Coordinate appointments and ensure timely reminders for key events or deadlines.
  • Assist with data entry, reporting, and tracking of company activities. Prepare and maintain reports related to operational performance, administrative tasks, and company finances.
  • Provide general administrative support to senior management, including preparing presentations, drafting correspondence, and assisting with day-to-day operational needs.
  • Assist in communicating with Mandarin-speaking clients and suppliers to ensure smooth operations, order processing, and timely deliveries.
  • Assist in the recruitment process by coordinating interviews, maintaining employee records, and supporting the onboarding process for new hires.
  • Ensure the company’s adherence to internal policies, regulatory requirements, and industry standards by maintaining up-to-date administrative records and documentation.
  • Monitor and manage office supplies and inventory, placing orders as necessary and keeping stock levels updated.
Qualifications/Requirements
  • Language Skills: Must be excellent in oral, writing and reading skills in English and Mandarin Language.
  • Experience: With or without experience in an administrative or office support role, ideally within a trading or international business environment.
  • Skills & Knowledge:
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time-management skills, with the ability to prioritize tasks efficiently.
  • Excellent communication skills, both written and verbal, in Mandarin.
  • Attention to detail and ability to work independently.
  • Ability to multitask in a fast-paced environment.
  • Strong problem-solving skills and proactive attitude.
