As an Administration Officer, you will support vital operations by managing databases, coordinating schedules, preparing documents, and optimizing workflows for accounting professionals. This role is key to ensuring seamless back-end processes across international business functions.

The Qualifications We Seek
  • A degree in Accounting
  • At least 1 year of experience handling collection of information or working as a Junior Accounts Assistant or Bookkeeper
  • Strong communication skills and attention to detail
  • Comfortable using cloud-based software platforms such as Xero, CAS 360, SharePoint, and Teams
  • Ability to manage time efficiently and work autonomously in a remote setting
Your Daily Tasks
  • Manage databases using XPM, including job scheduling
  • Set up and schedule jobs, collate information, liaise with clients and accountants, and update status
  • Handle client correspondence and file emails
  • Manage client files via Teams and SharePoint
  • Create document packs for client signing
  • Update templates for client correspondence
  • Manage Teams and SharePoint S & T Drives
  • Manage ASIC obligations via CAS 360
  • Update and review information in CAS 360
  • Download training materials from websites for training sessions
  • Book training seminars when required
  • Answer and direct calls using Zoom Softphone
  • Set up links in Xero, including bank feeds and integrations
  • Assist in preparing reports for payroll tax reporting (after 12 months)
  • Request information from clients
  • Set up and integrate HubDoc for receipts and invoices
  • Assist in preparing proposals and implementing onboarding processes for new clients
  • Assist bookkeepers and accountants as needed
  • Set up employees for clients in Xero (after training in payroll)
  • Conduct daily morning check-ins with staff
  • Review new software integrations
  • Review cybersecurity updates
  • Assist clients in installing and using apps or software on devices remotely via Teams or Zoom
  • Assist in vetting potential clients by reviewing job ads on Seek and LinkedIn
  • Prepare important quarterly client updates for email distribution
  • Attend training webinars related to systems in use and other beneficial systems
  • Prepare and distribute update summaries to managers for major system changes (after 12 months)
  • Download data from the ATO portal and prepare e-correspondence
  • Update and manage ASANA boards
