A well-established geotechnical services provider is seeking an experienced Proposals Coordinator to support its work-winning function across construction material testing, drilling, and geotechnical consulting projects. This role plays a key part in preparing competitive tenders and proposals for clients in the private, government, and mining sectors across Australia.
Reporting to the Proposals Manager, you will coordinate end-to-end bid processes, gather technical input from subject matter experts, and ensure all submissions are delivered to the highest quality standard within tight deadlines.
Responsibilities:
- Organise and facilitate tender kick-off and review meetings, including documenting key actions and deliverables.
- Prepare tender plans, allocate responsibilities, and track progress across all contributors.
- Format and manage tender documents and schedules to meet submission standards.
- Research and extract technical content from internal subject matter experts and relevant reference materials.
- Collaborate with the Proposals Manager on submission structure, design, and team profiles.
- Coordinate the collection and collation of resumes, project data, and technical inputs.
- Track, audit, and compile proposal content, ensuring consistency, accuracy, and alignment with branding and compliance requirements.
- Assist in maintaining a database of subcontractors and suppliers for inclusion in proposal content where required.
- Liaise with internal departments to gather relevant technical and commercial information for each tender.
- Maintain accurate records of submissions and associated documentation in line with the company’s proposal management system.
- Update and maintain the CRM database to reflect tender activities and client interactions.
- Support business development and pre-contracts activities as required
Requirements:
- Minimum 3 years’ experience in a proposals coordination or bids role, ideally within the construction, geotechnical, or resources sector.
- Tertiary qualification in Communications, Marketing, or a related field is highly desirable.
- Strong technical writing and editing skills with the ability to present complex information clearly and concisely.
- Proficient in Microsoft Office Suite and desktop publishing tools.
- High level of accuracy, attention to detail, and document formatting ability.
- Confident working in deadline-driven environments with multiple stakeholders.
- Strong organisational, analytical, and coordination skills.
- Self-motivated and capable of working independently while contributing to broader team objectives.
- Excellent interpersonal and communication skills, with the ability to collaborate effectively at all levels.
