We are looking for a highly organized, proactive, and dependable Executive Assistant to support management operations and help ensure smooth day-to-day business coordination and administration.

Executive Assistant

Job Responsibilities
  • Manage schedules, appointments, meetings, and calendars of executives or management
  • Prepare reports, presentations, documents, and correspondence
  • Handle emails, calls, and internal/external communications professionally
  • Coordinate with departments, clients, suppliers, and business partners
  • Monitor and organize company files, records, and confidential documents
  • Assist in operational, administrative, and business-related tasks
  • Arrange meetings, travel schedules, and company events when necessary
  • Take meeting minutes and follow up on action items
  • Support management in decision-making through research and data gathering
  • Ensure tasks and deadlines are properly monitored and completed on time
  • Process, monitor, and assist in the renewal and compliance of company permits, licenses, and government-related documents
  • Handle runner errands such as submission/pick-up of documents, bank transactions, government filings, and other business-related field tasks
  • Maintain professionalism, confidentiality, and strong organizational skills at all times
  • Perform other administrative and executive support duties as assigned by management
Qualifications
  1. Preferably a graduate of Information Technology with background or knowledge in marketing, digital platforms, and administrative operations is an advantage
  2. With 1 year proven experience as an Executive Assistant, Administrative Assistant, or related role is preferred
  3. Strong organizational, time management, and multitasking skills
  4. Excellent verbal and written communication skills
  5. Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
  6. Ability to handle confidential information with professionalism and discretion
  7. Capable of coordinating with clients, suppliers, government offices, and different departments
  8. Knowledge in processing company permits, government documents, and compliance requirements is an advantage
  9. Willing to handle fieldwork and runner errands when necessary
  10. Detail-oriented, proactive, resourceful, and able to work under pressure
  11. Strong problem-solving skills and ability to work independently
  12. Professional appearance and work attitude
  13. Willing to work onsite in Valenzuela City
Work Schedule: Monday - Saturday 8am - 5pm
