About the role

This is a full-time position based in Pasay City, Metro Manila. As a Administrative Assistant, you will provide comprehensive administrative support to our business operations, handling a diverse range of tasks that keep our organisation running smoothly.

This role is pivotal in ensuring that our teams can focus on their core responsibilities whilst you manage essential administrative functions with efficiency and professionalism.

Key responsibilities
  1. Managing calendars, scheduling meetings and coordinating appointments across different departments and time zones
  2. Handling correspondence, including emails, phone calls and general enquiries from internal and external stakeholders
  3. Preparing and organising documents, reports and presentations for management review
  4. Assisting with data entry, record-keeping and maintenance of administrative databases
  5. Coordinating travel arrangements, accommodation and logistics for team members as required
  6. Processing invoices, expense reports and other financial documentation
  7. Providing support for meetings and events, including taking minutes and distributing action items
  8. Managing office supplies and inventory tracking
  9. Conducting research and compiling information to support business initiatives
  10. Liaising between departments to facilitate effective communication and project coordination
What we're looking for
  1. Proven experience working as a Virtual Assistant, Administrative Assistant, or in a similar administrative support role
  2. Excellent organisational skills with the ability to prioritise multiple tasks and meet deadlines consistently
  3. Strong written and verbal communication skills in English
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
  5. Experience with scheduling tools, project management software and other administrative platforms
  6. Ability to work independently with minimal supervision whilst remaining a collaborative team member
  7. Strong attention to detail and commitment to maintaining confidentiality
  8. Quick learner with adaptability to new processes and technologies
  9. Problem-solving mindset with a proactive approach to challenges
  10. Experience in a customer-focused or sales-oriented environment is highly desirable
