Job Responsibilities
  • The Administrative Assistant has the following responsibilities:
  • Administrative Support: Provides a high level of admin support to the Environment and Sustainability Development team, including:
  • Manages the expenses e.g., preparing and processing of expenses and invoices
  • Arranges all logistical requirements.
  • Assists in the preparation of reports, proposals, presentations, internal memos and notes.
  • Prepares and manages external letters to clients and consultants.
  • Maintains confidential filing systems.
  • Meeting Coordination: Organizes and coordinates internal and external meetings. Records and disseminates minutes of meetings.
  • Calendar Management: Assists with organizing key events for the project.
  • Document Management: Organize and maintain physical and electronic files, ensuring proper document version control, confidentiality, and accessibility. Assist in the preparation, editing, and formatting of documents, reports, and presentations.
  • Office Operations: Assist in managing office supplies, equipment, and maintenance. Coordinate with vendors, service providers, and building management to ensure a well-functioning office environment.

Qualifications/Requirements

Minimum Qualifications:

  • Bachelor's degree.
  • At least 3 years’ experience as an administrative assistant or in a similar role. Proficiency in office software (e.g., Microsoft Office Suite).
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication and interpersonal skills
