- The Administrative Assistant has the following responsibilities:
- Administrative Support: Provides a high level of admin support to the Environment and Sustainability Development team, including:
- Manages the expenses e.g., preparing and processing of expenses and invoices
- Arranges all logistical requirements.
- Assists in the preparation of reports, proposals, presentations, internal memos and notes.
- Prepares and manages external letters to clients and consultants.
- Maintains confidential filing systems.
- Meeting Coordination: Organizes and coordinates internal and external meetings. Records and disseminates minutes of meetings.
- Calendar Management: Assists with organizing key events for the project.
- Document Management: Organize and maintain physical and electronic files, ensuring proper document version control, confidentiality, and accessibility. Assist in the preparation, editing, and formatting of documents, reports, and presentations.
- Office Operations: Assist in managing office supplies, equipment, and maintenance. Coordinate with vendors, service providers, and building management to ensure a well-functioning office environment.
Qualifications/Requirements
Minimum Qualifications:
- Bachelor's degree.
- At least 3 years’ experience as an administrative assistant or in a similar role. Proficiency in office software (e.g., Microsoft Office Suite).
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication and interpersonal skills
