Job Description:

A Marketing & Sales Admin Associate’s main function is to assist the CAGMA team (Customer Account Group, Marketing, and Admin). This would entail responding to Customer requests and queries, specifically while the Customer is onsite. These requests/inquiries would include but not be limited to security passes, hotel accommodations, transportation, customer room supplies, and internet connection.

Apart from these, it is also the responsibility of the Associate to upkeep the Department’s online work management platform and ensure its functionality is always maintained.

It is also one of the added responsibilities of the Associate to familiarize oneself in the latest proposal templates used by the Sales team and is expected to be familiar with the process of material sales and to draft material sales proposals.

Lastly, it is expected that the Associate is familiar with the Corporate Presentation and is able to present and act as facilitator during visits from Customers and other visitors.
  • Ensures that Customer's needs are well-attended to in a timely manner.
  • Proposal drafting: May be required to prepare proposals and quotations for material sales and training-related requirements based from Customer’s request.
  • Departmental Administrative:
  • Raises Purchase Request for Department's stationery requirements.
  • Updates and keeps track of all trainings required, attended to by the M&S team and reports it quarterly.
  • Responsible for the upkeep of Department's online work management platform.
  • Customer-related Administrative:
  • Coordinates hotel bookings and transportation of Customers and other visitors.
  • Submits quarterly reporting of completed checks to Embraer in a timely manner.
  • Drafts memorandums circulated to Customers in case of public holidays that would affect entrance to and transportation to the facility.
  • Ensures that the customer rooms are well-stocked, organized and cleaned.
  • Raises Purchase Request for Customers' sundries (quarterly).
  • Processes and monitors security passes for all customers and visitors.
  • Submits all requirements to Security Department for the timely processing of annual or temporary pass.
  • Familiar with basic template to be used during proposal and quotation preparation.
  • May at times act as a facilitator during company profile presentation to Customers and visitors.
  • Accomplish other task that may be assigned from time to time.

Qualifications/Requirements

Qualifications:
  • Must have 1-2 years of relevant administrative work experience
-Customer-facing work experience is a plus
  • Must be well-versed in Microsoft programs (Excel, Word, Outlook, PowerPoint, etc.)
  • Must be knowledgeable in handling, updating, and upkeep of Marketing & Sales online work management platform
  • Experience in the creation of online marketing material is a plus but not a requirement
