Job Description:

We are seeking a reliable, detail-oriented Administrative Assistant to support front desk operations while providing dedicated administrative support to the clinic executive. The ideal candidate will be responsible for managing schedules, handling communications, organizing files, and ensuring the efficient flow of tasks and information.

This role is primarily assigned to the front desk, requiring a professional, warm, and organized individual who can balance patient-facing duties with executive coordination responsibilities. It requires strong organizational skills, discretion, proactivity and the ability to work both independently and collaboratively in a professional healthcare environment.

Key Responsibilities:

  • Serve as the primary front desk administrative support, assisting with daily clinic coordination
  • Manage calendars, appointments, and meeting logistics
  • Handle daily communications, including emails, calls, messages, and internal coordination
  • Organize, maintain, and update office files, records, and databases
  • Ensure the smooth and efficient flow of tasks, information, and follow-ups
  • Support coordination between the executive, clinic staff, patients’ families, and external contacts
  • Perform general administrative and clerical duties to support daily clinic operations
  • Assist with ad-hoc administrative tasks and executive requests as required
  • Draft, review, and manage correspondence, reports and documentation
  • Prepare reports, meeting notes, and presentations as needed

Qualifications:

  • at least a Bachelor's degree in any related field
  • at least 1 yr experience in an administrative or coordination role
  • Pleasant personality, good with kids
  • Excellent written and verbal communication skills
  • Strong attention to detail, multitasking and organizational skills
  • Proficiency in Microsoft Office or Google Workspace
  • Ability to manage multiple tasks with efficiency and accuracy
  • Professional, discreet, dependable, and well-organized
