GENERAL RESPONSIBILITIES

The Facilities Management Zone Supervisor is responsible for the efficient and effective operation, maintenance, and repair of assigned facilities within a designated zone. This role ensures a safe, comfortable, and functional environment for occupants, while adhering to company policies, procedures, and regulatory requirements.

The Zone Supervisor acts as a primary point of contact for facility-related issues within their assigned zone, providing responsive and proactive service.

MINIMUM REQUIREMENTS

Education: Bachelor's degree in a related field preferred.

Related Work Experience: Proven experience in facilities maintenance or a related field.

Knowledge (knowledgeable in the following):
  • Strong knowledge of building systems, including HVAC, electrical, plumbing, and fire safety.
  • Ability to read and interpret technical manuals and blueprints.
  • Knowledge of safety regulations and building codes.
Skills:
  • Excellent problem-solving and troubleshooting skills.
  • Strong communication and interpersonal skills.

DUTIES AND RESPONSIBILITIES

Operational Oversight (within their assigned zone):
  • Managing the day-to-day operations of all facilities within their designated zone.
  • Ensuring all building systems (HVAC, electrical, plumbing) are functioning efficiently.
  • Supervising local maintenance technicians, housekeeping staff, building caretakers, and outsourced service providers.
Maintenance and Repairs (within their assigned zone):
  • Implementing and overseeing preventative maintenance schedules.
  • Coordinating and supervising maintenance and repair work.
  • Ensuring timely response to maintenance requests and emergency repairs.
  • Potentially managing a localized maintenance budget.
Occupant Liaison (within their assigned zone):
  • Serving as the primary point of contact for facility-related issues for employees or tenants.
  • Responding to inquiries and resolving problems related to building services.
  • Communicating effectively with occupants regarding facility operations and any security or safety updates.
Security Management (within their assigned zone):
  • Implementing and enforcing company security policies and procedures. This includes access control, visitor management, and alarm systems within their zone.
  • Liaising with the company's central security team and any outsourced security personnel assigned to their zone.
  • Monitoring security systems (CCTV, access control) within their zone and reporting any malfunctions or breaches.
  • Conducting regular security assessments and identifying potential vulnerabilities within their zone.
  • Ensuring proper key management and access card administration for their zone.
Safety Management (within their assigned zone):
  • Ensuring compliance with local and national health, safety, and environmental regulations, including fire safety standards. Familiarity with specific regulations in their assigned zone is crucial.
  • Implementing and monitoring safety protocols, including emergency evacuation plans, fire safety procedures, and first aid provisions within their zone.
  • Conducting regular safety inspections and risk assessments to identify and mitigate potential hazards within their zone.
  • Coordinating fire drills and other safety training for occupants within their zone.
  • Ensuring that safety equipment (fire extinguishers, first aid kits) is readily accessible and properly maintained within their zone.
Space Management and Minor Projects (within their assigned zone):
  • Assisting with space planning and allocation.
  • Overseeing minor renovation or refurbishment projects, ensuring they adhere to safety standards.
Budget Monitoring and Control (for their zone):
  • Monitoring and controlling operational expenses
Reporting and Documentation (for their zone):
  • Maintaining records of maintenance activities, inspections, operational issues, security incidents, and safety reports within their zone.
  • Providing regular reports on the status of facilities operations, security, and safety within their zone.
