Position Summary:
The Incoming Clinical Referral Specialist is responsible for coordinating and managing all incoming referrals from external providers, health systems, and insurance portals. This role ensures patients are properly scheduled, referrals are documented, and insurance authorizations are obtained as needed.The specialist serves as a key liaison between referring providers, patients, and clinical departments to ensure timely and accurate processing of referrals into the organization.
Key Responsibilities:
- Review and process all incoming referrals received via fax, electronic health portals (e.g., EPIC/Leading Reach), or secure messaging.
- Create or update patient charts in the EMR to ensure accurate demographic and insurance information is on file.
- Contact patients to schedule appointments based on the referral and provider availability.
- Communicate referral status and appointment information to referring providers as needed.
- Identify and request missing or incomplete referral documentation, including clinical notes or imaging.
- Determine insurance type and initiate requests for referral authorizations when required (particularly for HMO plans).
- Track and document all referral activity in EMR; update statuses appropriately.
- Collaborate with front office, clinical teams, and insurance verification departments to ensure patient readiness.
- Close referral loops by documenting appointment completion or missed visits.
Qualifications:
- High school diploma or GED required; associate degree in healthcare administration preferred.
- 2+ years of experience in medical office or referral coordination.
- Strong knowledge of insurance types and referral/authorization requirements.
- Familiarity with EMR systems (e.g., eCW, EPIC, Athena).
- Exceptional communication and patient engagement skills.
- Detail-oriented and highly organized
