Transaction Associate Role Summary

Single point of accountability for on-the-ground coordination, physical movements, vendor management, asset handling, and field-based transaction tasks to execute seat movements, IT asset transfers, and logistics activities with safe, timely, and cost-effective outcomes.

Core responsibilities
  • Pre movement planning and audits (operational): Conduct physical pre-movement audits, verify space readiness with Workplace, Operation (ISA), Security, and identify risks to scope/cost/timeline, and obtain operational approvals.
  • On day coordination and issue resolution: Facilitate movements/transfers on scheduled dates, coordinate vendors (PEZA Auditors), and POCs; manage vendor check-in/out and onsite logistics; log incidents and drive timely resolution.
  • Post movement confirmation and tagging: Perform post-movement audits ensuring completion of each process involved (i.e Farm-in / Farm-out).
  • Programs transfers and project support: Manage inter-site transfers, support project-related moves, and execute leadership-directed operational tasks.
  • Customer and stakeholder engagement (operational): Act as primary onsite contact for requestors, vendors, and functional POCs; manage expectations for timing, access, and safety on move days.
Deliverables
  • On day incident log and resolution summary.
  • Post-movement audit report and physical closure confirmation.
  • Updated physical asset tags and transferred items handed off to administrative systems team.
  • Storage room key logs, gate pass records, and 5S compliance checks.
  • Evidence of completed disposals and handover documentation.
  • Ad hoc operational status updates during moves.
Service levels and timelines
  • Onsite readiness verification: complete before movement start as defined in premovement audit.
  • On day incident logging and initial response: immediate and updated throughout move.
  • Physical reconciliation and tagging: completed within agreed operational timeframe after move (standard: same business day or next business day depending on complexity).
  • Gate pass issuance and asset receipt validation: at time of physical receipt. Interfaces tools and ownership
  • Primary interfaces: Facilities, IT, Security, Procurement, Operations, Vendors, onsite functional POCs.
  • Tools: ServiceNow for gate passes and ticketing; scanners and barcode taggers; physical storage logs and checklists.
  • Operational ownership: Custody of physical movements, storage room integrity, vendor coordination, incident logs, and handoff of physical evidence to administrative/data analytics owner.
